BlaBlaNote uses artificial intelligence to help you look after your relationships. Here we tell you what it does, what data it uses, who handles that data, where it lives and how long it is kept. Also what is not yet the way we want it: we would rather you heard it from us.

How We Use AI
AI powers several features in BlaBlaNote, always with the goal of saving you time and helping you focus on what matters: your relationships.
Voice Transcription
Your voice recordings are automatically turned into written text, so your spoken notes become searchable and easy to revisit.
Conversation Summaries
After your recording is transcribed, AI creates a short summary, pulls out the key phrases, and figures out what kind of conversation it was. You can quickly catch up without replaying the whole thing.
Task Extraction
AI spots action items and to-dos in your conversations and adds them to your task list. You can always review, edit, or remove them.
Contact Detection & Enrichment
The AI works out who you were talking about and links your notes to the right people in your network. It also fills in their profiles with professional information.
Meeting and Event Preparation
Before a meeting or an event, the AI looks at the details and who is attending to give you useful context, talking points and a quick prep list.
Contact Follow-up
If you turn it on, the AI searches the internet for the public professional activity of the contacts you choose, as often as you decide. It uses Google's search engine for that.
Smart Search
AI makes search smarter by understanding what you mean, not just what you type. So if you search for 'marketing people I met in Barcelona,' it actually gets it.
Language Detection
BlaBlaNote automatically detects the language you're speaking in, supporting 12 languages. Just talk naturally, no need to change any settings.
AI at Events
At events, the AI recommends people to talk to, writes introductions between attendees and prepares reports for the organiser. On an event's website, it can also explain why that event suits you.
Tasks That Run on Their Own
Not everything waits for you to press a button. Contact follow-up, the emails you forward to BlaBlaNote, and event recommendations and reports are processed automatically, based on what you have set up.
What AI Does NOT Do
Just as important as knowing what AI does is knowing where we draw the line.
It does not decide for you
The AI suggests and helps, but the decisions are yours. Sending an email, deleting a contact or accepting a suggestion is always done by a person.
No decisions with legal effects
No BlaBlaNote feature automatically decides on anything that has legal effects for you or for anyone else.
It does not sell your data or advertise
We do not sell your data to anyone or use it for advertising or ad profiles. It is handled, under contract, by the providers we need to run the service: we explain that below.
It does not train on your data
We do not train AI models on your data. Google does not use it to train theirs either, because we use its paid service, and nor does Amazon Web Services, because we turned on its opt-out. Nor does the other provider's backup AI, by contract.
Passwords and payments stay away from the AI
Your passwords and payment details are never sent to the AI.
No images or voices
BlaBlaNote's AI works with text. It does not generate images or artificial voices.
Who handles your data, and where
Where your data is stored, what may be processed elsewhere, and how long each thing is kept.
Who we work with
For BlaBlaNote to work, your data goes through providers we have a contract with. The two main ones are Amazon Web Services, which hosts BlaBlaNote, transcribes audio and runs search, and Google, whose AI writes the summaries, the tasks and the other texts. If Google's service does not respond, the request goes to another provider's AI, which may also process it outside the European Union, and if that does not respond either, it reaches the same Google model through a third provider, in the United States. There are more providers, for notifications, payments or error reports: the full list is in our Privacy Policy.
What is in Europe and what is not
Your data is stored in the European Union: databases, audio, transcripts, files and backups, on Amazon Web Services in Ireland. Transcription and search happen in the European Union too. What may be processed outside the European Union: Google's AI that writes the texts, and the other provider's backup AI, internet searches (for contact follow-up and event preparation), and phone notifications. Always with GDPR safeguards.
How long things are kept
Audio is deleted once transcribed, one day after it is received; if the transcription does not complete, after 7 days. The technical record of each AI use, with what was asked and what it answered, is deleted after 15 days. Your data is kept while you have an account; if you delete it, your data is anonymised and locked. Providers keep some things for a while too: Google keeps requests to its AI for up to 55 days to detect abuse, and internet searches for 30 days. The other provider's backup AI deletes requests within 30 days, or up to 2 years if it flags them for breaching its usage policy. Amazon Web Services does not keep the content of transcription or search.
How we protect your data
Your data travels encrypted, with the same technology behind the padlock in your browser, and is stored encrypted on Amazon Web Services, in the European Union. For the AI to summarise your notes, our systems need to read them, so they are not encrypted with a key only you hold. That is why access by the BlaBlaNote team is restricted and limited to supporting you and protecting the service.
People who do not use BlaBlaNote
We also handle data about people without an account: participants in a recorded meeting, the contacts a user saves or follows, and attendees, speakers and exhibitors at events, partly taken from the event's public website. Data about attendees without an account is anonymised 30 days after the event. Anyone can object or ask us to delete it by writing to legal@blablanote.com.
The EU AI Act
By our assessment, BlaBlaNote's AI features are limited risk: the category where the main duty is being transparent. We review this assessment when our features or the rules change.
Limited risk
The Act asks that you know when you are talking to an AI and when content was created by one. We meet the transparency obligations of the EU AI Act: where that may not be obvious, we say so expressly. For marking content so other software can also recognise it, we follow the European guidance, which is still being finalised.
Not high risk
BlaBlaNote is not used in the areas the Act treats as high risk, such as employment, education, access to essential services or justice. The AI suggests and a person decides.
Labelled content
BlaBlaNote is an AI assistant: the summaries, the tasks, the contact information and the meeting preparation are prepared by the AI. Where that may not be obvious, as in event mode or in suggested messages, we say so explicitly.

Each article is signed by the person who reviewed it and who holds editorial responsibility for it, as provided for in Article 50(4) of the EU AI Act.

Delete Your Data
You can export your data, ask us to delete it or delete your account. When you delete it, your data is anonymised and locked. We answer every request within one month, or three if it is complex.
